Remote Job Description
Ensures payroll is processed with speed and accuracy. Serves as liaison to employees and with third party payroll vendors to ensure payroll processing accurately reflects company specific pay policies. Audits employee pay records and reconciles totals by department, location, country, etc. Coordinates third party payroll system implementations and upgrades. Interprets pay policies, and ensures appropriate amounts/deductions are calculated and applied to the various accounts correctly. Verifies compliance with federal and state payroll requirements; stays current with changes in the law. May assist with audits of internal records, workers compensation, tax filings and related documentation. Documents payroll processes and procedures. May back up those who perform specialized tasks or activities such as stock option exercises, SEC document filing, or sales commission calculation reviews.
RESPONSIBILITIES
- Prepare payroll for two subsidiaries- Vida Health and Vida Medical, and different employee types (hourly and full-time employee) to ensure that employees are paid on time and in the correct amount
- Maintain database of personnel information and accurate payroll records within ADP
- Conduct regularly scheduled audits of payroll records to ensure the continued accuracy of the ADP information
- Coordinates third party payroll system implementations and upgrades. Interprets pay policies, (e.g., vacation, LOA, disability, workers compensation, union contracts, government regulations, withholding exemptions, etc.)
- Lead projects, coordinate and work closely with different departments to increase payroll service performance and system updates to ensure alignment with policies and compliance requirements
- Process data and prepare necessary tax informationPrepare special reports for management, i.e., hours report, and ad hoc reports
DAY-TO-DAY DUTIES
- Collect, verify, and record employee attendance for all employee types, including hours worked
- Compute wages, commissions, and deductions
- Ensure compliance with federal, state, and local tax laws, including remittance of payroll taxes
- Process and monitor garnishment orders
- Triage employee concerns related to incorrect payments and resolve discrepancies in a timely manner
- Develop resources to communicate and train leaders and employees on payroll system processes
- Assists in the administration of the employee benefit programs, including medical, dental, and vision plans; life insurance coverage; STD and LTD coverages, FSA/DFSA/Commuter Benefits, and 401k and Pension retirement plans, etc., -- resolving administrative and compliance issues.
QUALIFICATIONS
- Associate or Bachelor’s degree in accounting or a related financial field
- 5+ years of experience processing payroll responsibilities
- Knowledge of payroll industry software tools, specifically ADP
- Computation skills
- Computer literacy, including using programs and spreadsheets
- Intermediate experience in MS Excel (vlookups, if-statements, pivot tables)
- Problem-solving abilities
- Excellent communication and organizational skills
- Time-management expertise
